TERMS AND CONDITIONS
for Stall Holders and Food Vendors

APPLICATION AND PAPERWORK

  • South West Festival is a festival run by Thomas Hassall Anglican College.
  • Thomas Hassall Anglican College reserves the right to decline any application without providing a reason.
  • Completed Applications does not guarantee a position.
  • Thomas Hassall Anglican College will not accept applications from, and reserves the right to request termination of groups or individuals who provide activities or materials which are perceived as offensive, discriminatory or defamatory, or are in direct conflict with event sponsors and College endorsed policy positions.
  • You must provide Thomas Hassall Anglican College with a list of all items you intend to sell. This will help us with stall allocation and ensure that stalls of a similar nature are not next to each other. If you are found to be selling items not previously provided to Thomas Hassall Anglican College and this conflicts with another stall holder you will be required to remove said item(s) from your stall. Raffle tickets cannot be sold during the festival.
  • All stallholders must have and supply a copy of a Certificate of Currency for Public Liability Insurance for cover of no less than $20M (Million) dollars.
  • An invoice for equipment and site fees will be sent to you upon acceptance of your Stall holder Application Form. Fees must be paid in full before the event.
  • You must sign the declaration agreeing to the terms and conditions if you wish to participate in the event.
  • Applications may not be processed without all of the information/forms requested.
  • Late applications will not be accepted.
  • If a position is offered to you – you have 14 days to pay the invoice and complete any requested documentation.  The position/site is not secured until this is done.  Thomas Hassall Anglican College reserves the right to cancel the application or offer of position.

SITE

  • The size of one site is 3 x 3m, unless otherwise discussed. Stallholders will not be allowed to take up more space unless prior arrangements have been made. Food Trucks and Van site is limited to their dimensions.
  • Sites for stalls will be allocated as seen appropriate by Thomas Hassall Anglican College.There is severe limits on power and there is no guarantee power can be provided.
  • All stall holders must be onsite and completely set up by the designated bump in time. Late arrival may result in forfeit of your position on site, and College will not refund any fees paid.
  • Stallholders must remain on site for the duration of the festival. Please ensure that you have adequate product so you do not runout during the day. Should you choose to leave the site while the event is running charged stall holder fees will still apply.
  • We encourage all stall holders to decorate/brand your stall to ensure maximum exposure and to assist in creating a Festival type atmosphere throughout the event.
  • All stallholders must display their group/business name clearly on their site.

CANCELLATION

  • If the stallholder cancels their participation within 14 days of the event, College is unable to offer a refund on any fees paid. Please inform the College on 9608 0033 if you need to cancel your involvement in the event during the week leading up to the event.
  • If inclement weather which would render the event impossible, unsafe or hazardous is forecast between 48 and 72 hours prior to the event commencing, the College has the right to postpone the event and carry over the stall holder booking to a later date.
  • If the event is cancelled after bump-in/ event has commenced then College will cancel the event outright and not reschedule to a later date.A refund on stall fees will be made in this circumstance.
  • All Stall Holders/Food Vendors activities must be carried out in a structure (such as a tent or marquee).
  • Food Safety Assessments will be conducted on the day of the event. Should you fail to comply with the requirements of the Food Act Food Standards Code you may be required to leave the premises. In the event that you are asked to leave the premises for breach of the Act or code, your fee will not be refunded by College.
  • All vendors must have in date and appropriate fire extinguishers at stalls for the length of the event.
  • All food stalls and vehicles must have a current registration and licenses as required by the State and council law.
  • Food Safety Programs and minimum record requirements must be adhered to at all times if applicable.
  • Those stalls that require a Food Safety Supervisor must ensure that person can be contacted on the day of the event if required.

EQUIPMENT

  • All marquees must be in safe/ usable condition, if your marquee is not in acceptable condition College has the right to decline use of the marquee.
  • Marquees must be weighted (not pegged).
  • If power is required you must bring your own, as none is available onsite.
  • All electrical cables must be tested and tagged.

SAFETY

  • Thomas Hassall Anglican College will have an Event Safety Officer present on the day to inspect stallholder and public safety and reserves the right to request termination of activities performed by groups or individuals where Council’s safety requirements are not met.
  • All persons under the age of 16 must be supervised at all times and not left unattended.

WASTE MANAGEMENT

  • Waste water is to be discarded at a designated sewer point.
  • Thomas Hassall Anglican College encourages all stallholders to be environmentally aware when planning their stalls and to purchase and use recyclable products.
  • Recycling bins will be provided and we expect all stall holders use these accordingly.
  • All stallholders must clean up their site at the end of the day and place their rubbish in the bins provided. (Please note: Stall holders will be charged a cleaning fee if their site is not cleaned).
